The Information Below applies to all vendors and artists

Please read this novella thoroughly, as some things have switched up. Within you find important details on loading in, parking, show hours, do’s and do not’s, as well as some other info that’s probably more than you need, but you’re gonna get it anyway.

We are no longer using staggered load in times

All vendors may load in on Saturday between 9:00am and 1:00pm. We are not offering Friday load in for this event.

VIP early bird shopping starts at 2:00pm, so please be ready to rock by 1:45pm. The earlier you’re set up, the sooner you can start making that sweet vendor magic happen.

We are implementing a hard cutoff for vendor load-in at 12:45 pM

Unless you let us know in advance that you are running behind, we will no longer be accepting vendors after our load in window ends. We absolutely hate that this is necessary, but far too often we have dozens of vendors loading after our official load in time ends, and that puts an incredible amount of much stress on our crew. We are a small, but mighty team, and once vendor check-in ends, we all shift to a different focus. When we’re unable to do that on schedule, the event suffers and our staff is greatly impacted.

We respectively ask that you do not let it get to that point. This is not what we are here for. We strongly believe in supporting small biz’s and artists, but we require support from you, so we can be as supportive as we can for all vendors. THAT is what we are here for. We’ve done away with staggered load-in times to give everyone some relief, but it only works if we all work together, friends.

if you are running late and you know you will be arriving after 12:45pm, please do the following ASAP:

Running late is something we all do and we fully understand that. If something comes up and you are unable to reach us before last call…

PLEASE TEXT US AT
640-270-7163
AND INCLUDE
1. Your Name:
2. Business Name:
3. Estimated Time of Arrival:
No phone calls, please.

THE TAKEAWAY HERE…?
If you know you’re running late, please just text and let us know. WE WANT TO HELP but we can’t help if we don’t know in advance, and if we don’t know in advance, then we can’t help. Ya dig?

~ Please respect the vendor check-in and parking team ~

We get it... By the time you get to us, it may already have been an extremely long and trying morning. Traffic sucks, and we know you likely hit at least one jam on the Turnpike. We’re right there with you. We’ve also been up since 3am and running on pure caffeine, determination and spite, which is why we want to remind you that we are not trying to make things more difficult for you during the unloading process. We’re trying to make sure everyone gets unloaded, parked, checked in, set up, and ready to have a successful event.

So please… work with our team, follow their direction, and remember that everyone is on the same side here. We’re here to work together to create a successful event for everyone.

Let’s work together and we promise, we’re going to gave a killer day together!

~ Please Don’t leave early ~

You may not break down your setup before doors close to the public. If you do, you will jeopardize your ability to vend with us in the future. We don’t have any issues with condensing your space and preparing for a quick load out once doors close, but as long as there are shoppers walking around and our doors are open, we ask that you please keep your booth or table fully active.

If an emergency comes up and you need to leave early, please flag down a member of our crew and let them know so we can coordinate a quick and safe way for you to exit.

Otherwise… hang tight, boppers... Jammies, hot showers, and snacks will be waiting for all of us at the end of the show like tiny little promises from the universe.

~ Vending space details ~

All vending spaces include one 6-foot wide x 30-inch deep undraped table.
Double table and double booth end caps receive two tables.
All booths receive one table per 10x10 space reserved.

We are no longer providing chairs, so please plan to bring your own if needed. This is due to an overwhelming amount of vendors letting us know they don’t use them or they would prefer to bring their own.

Your space will have a sticker or paper with your space number on it. Vendors are typically spaced approximately 12 to 18 inches apart. If you purchased multiple tables, they’ll be set together.

Your full vending footprint includes your table, plus an additional 4 feet behind you. Please see the inset image below, where the highlighted areas indicate the footprint for each space. Booth vendors have either a 10x10 foot or 10x20 foot space with no additional room behind them.

You are welcome to remove your table entirely, shift it around within your footprint, or configure your space in the way that works best for you. Got a clothing rack? Don’t need your table? Want to build your space out a little differently? No worries. Unless it extends outside the boundaries of your dedicated space, blocks egress, or goes against our standards, we don’t dictate how vendors use their space. We’d rather you set it up in whatever way allows you to be most successful. Please keep all set ups 10 feet high or lower.

If you do not require your table,
please submit the form below:

For those who use a banner behind their table… if it is double sided, we ask that you please bring something to cover over the graphics that are facing away from your booth. The vendor behind you isn’t necessarily using a backdrop, and they deserve the respect of not having your branding extended into their space. We will require you to remove the banner if you are unable to comply with this rule.

All booths include 8-foot pipe and drape at the rear of the booth, with 3-foot pipe and drape containing the space on both sides separating you and the booth next to yours.

Single 10x10 booth ends caps (only) will only include the 3’ pipe and drape on one side. This means you’re booth will be open on two sides, which allows you to maximize your space and present as more of a corner end cap space. If you would like to add the 3’ pipe and drape, please let us know in advance. You are welcome to remove the 3-foot pipe and drape on a public-facing side if you’d like to open up your booth or allow access from two of your four sides. Just flag down a member of our team so we can remove it quickly and get you back to doing your thing.

We’re all for creativity and making the best use of your space to engage patrons and pull people in. That said, we expect everyone to be respectful of their vendor neighbors and everyone’s need for clear, safe egress throughout the venue. If you and a neighbor have a dispute about space, or if you’re concerned about how your setup may impact traffic flow, please let our Vendor Check-In Team know and we’ll help sort it out.

If you’re uncomfortable with a setup or have questions about yours, just flag down staff. We’re here to set you up for success.

~ Vendor Lounge ~

Please Note: We will not be offering a vendor lounge at this event.
Please plan accordingly.

~ Wall Space and Grid Walls ~

This is a wide-open space and does not have much wall space to speak of. Or really any wall space really. Actually, expect to have no wall space, eh?

We do allow well-secured grid walls to be used. If your products require a wall for display, please plan accordingly.

~ Coolers, Outside Food and Drink ~

Vendors may bring a cooler for personal use. You may not sell water, soft drinks, or any food unless you have paid for a Health Inspection Certificate and registered as a food vendor in advance. Coolers and outside food are for your personal use only.

~ Alcohol is not allowed ~

Alcohol is not allowed under any circumstances, outside of what is available for purchase at the event. Bar service will be available at this event, and drinks can be consumed throughout the venue with the exception of the Tattoo/Piercing area.

~ Sweet, Sweet Mary Jane ~

Look, it’s 2026, it’s everywhere. Many of our crew also imbibe… but that being said, there is absolutely no selling or gifting of THC allowed, officially or unofficially. Zero exceptions.

You’ll be unceremoniously ejected from the premises and will sacrifice your vending fee if you break this rule. And yes, that includes the “but it was free” loophole.

Actual drugs are also banned, and are subjected to the same response. Nice try, counselor.

~ Bathrooms ~

There are bathrooms located inside the main entrance door and to the right. Signage should direct you. You are also welcome to flag down a staff member and we’ll point you in the right direction.

If you experience an issue in one of the restrooms on site, please flag down a staff member so we can rectify it with the venue.

~ Electricity and Wifi ~

Electricity and Wifi are not available for this event. You may use portable battery station or battery pack.

~ Clothing Racks ~

Clothing racks are allowed in your space as long as they do not expand beyond the boundaries of your allotted footprint. In other words, rack it up, but don’t become a neighborhood.

~ Trash and Other Waste ~

You are 100% responsible for managing your own waste. Please do not pack our garbage cans to the point of overflowing. Please do not leave boxes of unwanted items sitting next to full garbage cans like a tiny cardboard shame monument. You have waste you generated? Cool. We do too… AND we take care of our own. Your waste is yours to dispose of properly. Don’t be a Lazy Daisy or we will fine you $50! For real, tho!

Please use the venue dumpster to manage your waste, or take it with you. We very much appreciate you working with us on this.

~ Merchandise Booth ~

If you have any questions, concerns, see something that should be brought to our attention, or just want to drop by and say hey, please stop by the Darkside Merch Booth. This will be the information hub of the event once it begins.

One of our staff members will be there at all times. If they can’t answer your question, they can find someone who can.

THE. END.
